Privacy Policy

This policy explains what personal information Heylux Chauffeur LTD collects, why we collect it, how long we keep it and what rights you have over it. We are the data controller for the information described here.

What we collect
- Booking details — your name, phone number, email address, pick-up and drop-off locations, date, time, service, vehicle preference, passenger and luggage counts, and any additional information you give us (such as a flight number or a child seat requirement).
- Correspondence — emails, WhatsApp messages and notes from telephone calls relating to your bookings.
- Account information — for corporate accounts, billing contacts, cost-centre references and authorised booker names.
- Website usage — standard server logs (IP address, browser, pages requested) and, if you consent, analytics data. See our cookie policy.
We do not ask for, and you should never send us, payment card details by email or web form.
Why we use it, and our lawful basis
- To arrange and deliver your journey — performance of a contract. Without this information we cannot provide the service.
- To contact you about a booking — performance of a contract.
- To invoice you and keep accounting records — legal obligation.
- To improve our service and secure our website — legitimate interests, balanced against your rights.
- To send marketing — only with your consent, which you can withdraw at any time.
Who sees your information
Your booking details are shared with the chauffeur assigned to your journey, because they need to know where to collect you. They are bound by confidentiality obligations and are told only what the journey requires.
We also use service providers who process data on our behalf: our website host, our email provider, our accounting software and, where you use the location search on our booking form, Google (which receives the text you type in order to return address suggestions). Each is bound by contract to process data only on our instructions.
We do not sell your personal information, and we do not share it with anyone for their own marketing.
How long we keep it
Booking records are retained for six years from the end of the tax year in which the journey took place, which is the period required for accounting and tax purposes. Enquiries that do not become bookings are deleted within twelve months. Marketing consent records are kept until you withdraw consent, and then for a short period afterwards to evidence the withdrawal.
Your rights
Under UK data protection law you may ask us to give you a copy of the information we hold about you, correct it if it is wrong, delete it where we have no continuing reason to keep it, restrict or object to how we use it, or provide it in a portable format. You may also withdraw consent at any time where consent is our basis for processing.
To exercise any of these, email info@heyluxchauffeur.com. We will respond within one month. If you are not satisfied with our response you may complain to the Information Commissioner’s Office at ico.org.uk.
Security
This website is served over HTTPS, booking submissions are validated and rate-limited, and access to booking records is restricted to staff who need it. No system is perfectly secure, but we take the protection of your information seriously and will tell you promptly if a breach affects you.
Changes
If we change this policy we will update the review date at the top of the page. Material changes affecting how we use existing data will be notified to account clients directly.
This policy has been drafted to reflect how Heylux actually operates. It is not legal advice, and we recommend having it reviewed by a solicitor before publication.
